Prism Terms of Use
Effective October 13, 2026
Who provides Prism
Thomas Brackin operates Prism under the Varitas brand. These terms cover use of Prism's website, public demo, invited customer workspaces and the Prism Zoom integration. Contact prism@varitas.io with questions about these terms or support.
Use Prism only if you are at least 18 and authorized by the organization whose workspace you use. By using Prism after these terms have been presented to you, you agree to these terms. If you do not agree, stop using Prism and contact your workspace administrator or Varitas. If your organization has a separate written agreement with Varitas, that agreement controls any conflict. These terms do not replace a required customer agreement, data-processing agreement or international-transfer arrangement.
Accounts and authorized use
Varitas provisions customer workspaces manually. Adding the Zoom app does not create a Prism account, purchase a subscription or entitle you to a workspace. Pricing, seats and any service commitments are agreed separately with your organization; this page creates no new charge.
Keep your sign-in methods, workspace passphrase and recovery files secure. Do not share another person's sign-in link, impersonate someone, bypass access controls, disrupt the service or attempt to access another workspace. Workspace administrators manage membership and content access. Tell prism@varitas.io promptly if you suspect unauthorized use, without sending interview content or secrets.
Interviews and participant rights
Use Prism only for authorized interviews involving adults and non-sensitive, non-regulated information. Do not submit children's information, health information, HR/personnel matters, special-category personal information or other sensitive or regulated material, including through recordings, uploads, interview guides or prompts.
Your organization decides whose interviews to collect and why. Before recording, importing or analyzing an interview, ensure that it has the necessary authority, participant notices and permissions. Prism's consent record records your statement; it does not obtain consent from participants or verify your authority. Respect participant requests and use the available controls to stop AI processing, remove material or delete an interview when appropriate.
Your content and processing instructions
You and your organization retain your rights in the content you provide. You authorize Varitas to host, process, transmit and delete it only as needed to provide the features you request, follow your organization's instructions, maintain service security and meet applicable legal obligations. The privacy notice explains the information handled, service providers, encryption boundaries, regional choices, retention and rights requests: https://prism.varitas.io/privacy/full-text.
Customer workspace content is encrypted at rest using customer-held keys. Authorized processing temporarily decrypts content on the server; this is not end-to-end encryption. Zoom email and OAuth tokens use a separate server-held encryption key. Account, connection and operational metadata are outside the content vault. Keep your recovery files safe: Varitas cannot recover lost customer keys. Maintain any independent copies your organization needs.
Connecting and removing Zoom
Prism - US connects an individual Zoom user to a US Prism workspace. Zoom's own terms apply to your Zoom account. Your Zoom administrator may require pre-approval, and Zoom determines whether an app can be installed. Connect only an account you are authorized to use for these interviews.
Prism requests access to your Zoom profile, recording settings and cloud recordings, including permission for a separate action to delete a source recording on Zoom. Newly received recordings are private to the connecting member until imported. Importing shares the interview with the workspace. Automatic import is off by default; enable it only for an account used exclusively for interviews.
Applying recommended recording settings is optional. It turns on cloud recording, audio-only recording, transcription and automatic cloud recording for every meeting you host; it turns off speaker/gallery video recordings and Zoom's automatic recording deletion. Administrator-locked settings may remain unchanged. Review the warning and resulting settings before relying on them. Disconnecting does not undo these settings; change them in Zoom if needed.
Disconnecting in Prism or removing the app in Zoom deletes the connection, stored OAuth tokens and unimported recordings from Prism. Imported interviews remain under the workspace's normal deletion controls. Removing Prism does not delete Zoom's separate copy. Deleting a source recording on Zoom is a separate action that you must choose with authority to do so. Instructions: https://prism.varitas.io/support/connect-zoom.
Review AI output
AI transcripts, insights, comparisons and answers can be incomplete or wrong. Review them against original material and source citations before using or sharing them. Do not use Prism to make employment, healthcare, credit, legal or other decisions that materially affect an individual. Prism provides interview analysis, not professional advice or a guarantee of accuracy.
Ending access and changes
You can disconnect Zoom at any time. Ask your workspace administrator about membership, content returns and workspace closure. Deletion and recovery periods follow the privacy notice; disconnecting alone does not erase imported interviews or override your organization's obligations. Varitas may restrict access needed to address unauthorized use, a security incident or a legal requirement, subject to your organization's written agreement.
We will date revised terms and tell workspace administrators before applying a material change to customer use. A new page alone does not amend a conflicting signed agreement. Nothing in these terms excludes rights or obligations that applicable law does not allow the parties to exclude.
